How to grow your nonprofit organization by increasing your efficiency
We know firsthand what a challenge it is to grow a business. And growing a nonprofit is not any easier. It definitely has its benefits, but it also has its challenges.
We have worked with countless organizations of all sizes in various industries and just asked many questions. The growing organizations had one thing in common, and here is what we learned helps growth.
They all implemented systems or, for a more technical term, Standard Operating Procedures (SOPs). We love to refer to these as processes.
Processes are great to implement but hard to determine. So we will try and cover some of the things we have learned along the way on how you can implement processes in your nonprofit organization to scale to the next level.
Processes are important for all aspects of your business. But here we will share some ideas on how to implement processes to streamline collecting Donations and Case Management.
Once you have determined your processes, you can use software to help you automate the tasks.
And the best part, you don’t have to have a degree as a Business Systems Analyst to do it!
Now let’s get to it…
Overview
From helping over 300+ organizations establish processes and help streamline their operations, here is an overview of what to do when determining what should be made into a process and how to develop it.
- Determine the repetitive tasks and stages/milestones. These are the best technique for adding to a process and automations.
- Develop processes. Write clear, step-by-step instructions for each process. Break it up into stages to better report on how things are progressing.
- Implement automations. Use technology, such as software and scripts, to automate repetitive tasks. This can save time and reduce the potential for human error.
- Train staff. Ensure that all staff members understand the SOPs and know how to use the automations. Employee turnover happens, work gets busy, and one year from now, it’s easy to forget what SOPs were established, so it’s highly recommended that you document it.
- Continuously monitor and improve. Regularly review and update SOPs and automations to ensure they are still effective and relevant.
Following these steps, your organization can create robust, streamlined processes to help grow. In the following sections, we will help you to identify what to add to your process, a framework for developing SOPs and more.
Finding repetitive tasks to automate
To identify repetitive tasks and processes in a nonprofit organization, you can follow these steps:
- Observe daily operations. Observe how tasks are performed and what processes are followed. Take note of tasks that are performed regularly.
- Ask employees for input. Ask employees about the tasks and processes they perform daily or weekly. They may be able to identify repetitive tasks.
- Review data and reports. Analyze data and reports to detect patterns or areas where efficiencies can be improved.
- Conduct a process mapping exercise. Map out the steps in each process to identify areas where tasks are repeated.
- Evaluate current systems and tools. Evaluate the systems and tools currently used to see if they could be streamlined or automated.
Spend Less Time Manually Updating Spreadsheets and Actioning Repetitive tasks.

How do you use SOPs to increase donations and donor engagement?
Standard Operating Procedures (SOPs) can boost donor engagement and donations. SOPs do this by providing clear and consistent steps for managing donor relationships. Here is a framework for using SOPs to boost donor engagement and donations.
- Define the donor relationship management process. Define the steps in managing donor relationships, from acquiring new donors to retaining and engaging existing ones.
- Assign responsibilities. Assign responsibility for each step of the donor relationship management process to a specific staff member or team.
- Document the SOP. Keep the SOP clear, concise and easy to follow. This includes step-by-step instructions for managing donor relationships.
- Implement the SOP. Train staff members on the SOP and implement it in the organization’s donor relationship management process.
- Watch and test. Regularly track the process to ensure that the SOP is followed consistently and effectively. Test the process and make changes as needed to improve efficiency and accuracy.
- Always improve. Regularly review and improve the SOP. This is to ensure it remains relevant and effective in managing donor relationships.
- Personalize and segment communication. To improve donor engagement, personalize and segment communication with donors. Do this based on their giving history, preferences, and interests.
- Provide opportunities for engagement. Provide opportunities for donors to engage with the organization. Such as events, volunteer opportunities, and other activities.
The use of SOPs can ensure consistent and efficient management of donor relationships. This results in successful donor engagement and increased donations.
How do you use SOPs to streamline case management?
Standard Operating Procedures (SOPs) can also streamline case management in a nonprofit organization. SOPs provide clear and consistent steps for managing cases from start to finish. The framework for using SOPs in case management is similar to the framework used to increase donor engagement:
- Define the case management process. Clearly define the steps involved in managing cases, from receiving a case to closing it.
- Outline reporting metrics. Clearly outline what metrics need to be reported on to ensure that you are capturing that data throughout the process.
- Assign responsibilities. Assign responsibility for each step of the case management process to a specific staff member or team.
- Document the SOP. Document the SOP in a clear, concise, and easy-to-follow format. This includes step-by-step instructions for managing cases.
- Implement the SOP. Train staff members on the SOP and implement it in the organization’s case management process.
- Watch and test. Regularly track the process to ensure that the SOP is followed consistently and effectively. Test the process and make changes as needed to improve efficiency and accuracy.
- Always improve: Regularly review and improve the SOP to remain relevant and effective in managing cases.
The use of SOPs can ensure consistent and efficient management of cases. This results in improved effectiveness of the organization’s services.
What are the benefits of SOPs for case management?
Standard Operating Procedures (SOPs) provide many benefits for case management. These include:
- Improved efficiency. SOPs provide clear and consistent steps for managing cases. This reduces the time and resources needed to manage each case.
- Improved accuracy. SOPs help ensures that cases are managed consistently and accurately. This reduces the risk of errors and improves the quality of services provided.
- Better resource application. SOPs streamline the case management process. This helps a nonprofit organization maximize its resources and allocate them more effectively.
- Improved accountability. SOPs provide clear guidelines for staff members. This makes it easier to hold them accountable for their responsibilities.
- Enhanced transparency. SOPs help to ensure that the case management process is transparent and easily understood by all staff members. This improves the effectiveness of the organization’s services.
- Greater compliance. SOPs help to ensure that the organization’s case management practices comply with relevant laws, regulations, and policies.
- Better staff training. SOPs provide clear and consistent guidance for staff members. So making it easier to train and onboard new staff members.
By leveraging the benefits of SOPs, you can improve case management processes, better serve your clients, and achieve your mission more effectively.
A Framework for developing SOPs
Here is a framework we use for developing Standard Operating Procedures (SOPs):
- Define the purpose of the SOP. Clearly state the purpose of the SOP, including what the procedure covers and what it aims to achieve.
- Identify the scope. Determine the scope of the SOP, including who is responsible for following it and who it applies to.
- Outline the steps. Break down the process into clear, concise steps. Make sure each step is clearly defined and can be consistently followed.
- Assign responsibilities. Assign responsibility for each step to a specific staff member or team.
- Use clear and concise language. Use simple, clear language that is easy to understand. Avoid technical jargon and abbreviations.
- Include diagrams or images. Use diagrams, flowcharts, or images to help clarify the steps in the process.
- Add references and resources. Include relevant references, such as laws, regulations, or policies. Also, list any resources that may be needed to complete the process.
- Test the SOP. Test the SOP to make sure it is effective and efficient. Get feedback from staff members who will be using it and make any necessary changes.
By following this framework, you can develop effective SOPs that improve efficiency and support the organization’s mission.
